Reports to: Chief Operations Officer

Primary Objectives: To provide a wide range of administrative tasks, data input, and office support activities that facilitate the efficient operation of the Sioux Empire United Way (SEUW).

Duties and Responsibilities:

Data Management and Reporting

  • Support campaign fundraising efforts through data entry and pledge processing, manage volunteer fundraiser assignments, and generate campaign reports, as needed.
  • Support the management of online fundraising campaign set up and reporting.
  • Research and provide necessary updates to donor and volunteer information in the donor database.
  • Support data clean-up and optimization projects, as needed.
  • Generate and post monthly billing statements and receipt letters.
  • Prepare and initiate pledge payments for bank deposit.

Administrative Support

  • Manage daily office operations. Respond to telephone calls, emails, and visitors in a courteous and efficient manner. Provide a high level of customer service to all internal and external customers.
  • Oversee office supply inventory and manage office equipment (i.e. copier, postage machine, etc.).
  • Assist SEUW staff with administrative duties, maintaining a high quality of work and ensuring tasks are completed in a timely manner.
  • Assist with proofing the annual publication, mailing thank you letters, processing recognition forms, ordering plaques, and sending out year bars to Heart Club members.
  • Manage and/or assist with internal programs.
    • Dolly Parton’s Imagination Library: Accept new registrations and enter registrations into program database. Make address changes monthly and as requested.
    • Connecting Kids Program: Process monthly payouts to and maintain relationships with Connecting Kids partner nonprofits. Print and distribute certificates for registration to area schools, nonprofits, and other appropriate organizations.
    • Automated External Defibrillator (AED): Respond to inquiries, review applications and agreements, ensure proper documentation is submitted and signed, provide invoices, and coordinate pick up or delivery of AEDs.
    • Other programs, as needed.
  • Other duties as assigned to contribute to the overall effectiveness of the organization.

Executive Support

  • Provide executive administrative support for the Chief Executive Officer (CEO) and Chief Operations Officer (COO).
  • Oversee organizational leadership meeting preparation and notifications. Secure meeting space and ensure proper setup. Work directly with CEO and COO to prepare for monthly Board and Executive Committee meetings.
  • Record and communicate meeting reports and minutes. Ensure that correspondence, memos, reports, and other documents are accurately and promptly transmitted to staff and volunteers.

Job Requirements and Skills:

  • Associate or bachelor’s degree or equivalent experience, preferred.
  • Experience in operating Microsoft Word, Excel, Outlook, and other office programs and equipment with high accuracy and efficiency.
  • Experience in data entry and reporting in a nonprofit or fundraising environment, preferred.
  • Experience utilizing Customer Relationship Management (CRM) tool and/or donor database system operations, preferred.
  • Exceptional organizational skills and attention to detail.
  • Strong communication skills, both written and verbal.
  • Ability to prioritize tasks, handle sensitive information with discretion, and work collaboratively in a team environment.

Work Conditions/Equipment:
The majority of the work will be indoors, using basic office and computer equipment regularly and will take place at the Sioux Empire United Way office, Monday to Friday, between the hours of 8am-5pm.

Reports to:  Chief Operations Officer

Primary Objectives: The Community Impact Director will be responsible for managing the Community Impact Division functions. In addition, this role will assist with the ongoing funding process and act as a liaison between the Sioux Empire United Way (SEUW) and partner nonprofits.
 

Duties and Responsibilities:

  • Manages the community impact function by supporting SEUW's initiatives and priority area funding work. Assists with the identification of issues and needs in the community. Identifies ways to enhance current programs or develop programs to meet the needs of the community. Supports and guides the Community Impact Division Chair.
  • Recruits, trains, supports, and maintains relationships with the volunteers who serve on the community impact teams. Assists them throughout the ongoing funding process.
  • Develops and maintains effective relationships with nonprofits. Assists nonprofits in completing the funding application. Responds to questions and to individual nonprofit partner issues.
  • Analyses data to understand the true impact SEUW funding has on each funded program.
  • Supports special committees, including the Diversity, Equity, and Inclusion Committee.
  • Reports out and presents relevant information to the Board of Directors (BOD), as appropriate.
  • Assists the campaign division in the completion of corporate grants.
  • Assists with campaign, marketing, and other organizational goals, as needed.
  • Presents at campaign volunteer training sessions and company rallies, as needed.
  • Participates in various internal and external committees and professional organizations.
  • Other duties may be assigned to meet organizational needs.

Job Requirements and Skills:

  • Bachelor’s degree is required.
  • A minimum of 3 years of experience in the following areas or combination of education and experience:
    • Working experience with a nonprofit or similar organization
    • Experience researching, identifying, developing, and implementing organizational initiatives.
    • Working with and leading volunteers.
    • Recruiting and training staff and/or volunteers.
  • Ability to work effectively with volunteers and staff.
  • Exhibit integrity and discretion in handling confidential information.
  • Skills in organization, research methods and Microsoft programs including Word and Excel.
  • Ability to utilize a grant and community impact management software system.
  • Strong verbal and written communication skills; ability to present information to stakeholders.
  • Ability to effectively organize and prioritize work, and complete it accurately within established time frames.
  • Working knowledge in financial analysis is beneficial.
